Client Dayspring Software provides a policy management platform that helps small and growing businesses manage compliance documentation and stay audit-ready. The platform handles version control, annual review cycles, information classification, and version-specific acknowledgement records. This gives businesses exportable evidence of who agreed to what and when, proof that policies are reviewed on a regular schedule, and visibility into what changed between versions and why. Their target customers are small teams subject to enterprise vendor audits, regulatory inspections such as those required by the SRA or ACCA, or businesses pursuing and maintaining certifications such as ISO standards. When Dayspring approached Symphony Solutions, they had a clear product vision and a strong understanding of the problem they were solving. What they did not have was a single screen, component, or design asset. Challenge Dayspring Software came to Symphony Solutions with a product vision but no existing design or platform. The challenge was to design a B2B SaaS compliance product entirely from scratch, translating complex document control workflows into an experience that felt intuitive and immediately usable for small teams without a compliance background. This was not a UI refresh or a feature extension. It required building everything from first principles: mapping core document control workflows, designing for multiple user roles with different permissions and responsibilities, and creating a design system capable of scaling as the product evolved. Another key requirement was security. Design System The design system was built on Shadcn and extended with custom components developed specifically for the platform’s compliance use cases. It covers both light and dark themes, with consistent component behaviour, interaction patterns, and visual language across the entire product. The system was structured with developer handoff explicitly in mind, clearly documented, logically organised, and built to scale as new features are added to the platform. UX Architecture The UX structure evolved iteratively throughout the design process rather than being fully defined upfront. The client initially provided a minimal working flow, which served as the starting point for the first set of designs. From there, additional flows and scenarios were introduced progressively, with each new requirement incorporated into the existing design. This step-by-step approach allowed the product to grow organically while staying aligned with the client’s priorities and product management decisions. As a result, the final experience reflects a layered evolution of features and workflows, shaped through continuous collaboration rather than a predefined architecture established at the outset. Document Management & Acknowledgement At the heart of the platform is the document management experience. We designed the core workflows for uploading documents, managing version history, assigning acknowledgers, setting deadlines, and tracking acknowledgement status across an organisation. Particular attention was paid to the experience of the acknowledger. Symphony Solutions designed it to be genuinely informative, with a clear version context and a structured process that gives acknowledgers what they need to make an informed decision. Questions & Rejection Workflows Symphony designed structured question and rejection workflows to support document review before acknowledgement. Questions allow acknowledgers to raise a query directly within a document before making their acknowledgement decision. Document owners respond through a threaded conversation, with each question tracked as Open or Resolved. This keeps ambiguity visible and ensures it is addressed before acknowledgement, reducing disputes and improving audit defensibility. Rejections allow acknowledgers to formally reject a document with a written reason. Document owners can respond, address the issue, and resolve the rejection — with the full conversation history retained. For regulated industries, this traceability is not a nice-to-have; it is evidence. Change Notes & Annual Review For organisations maintaining multi-year compliance certifications, document versioning is an ongoing operational challenge. Symphony designed structured change note flows so acknowledgers understand exactly what changed between versions before re-acknowledging, rather than being asked to re-read entire documents. Annual review workflows prompt document owners to confirm whether updates are needed, with automated reminders to keep the process moving. The design ensures that no document quietly goes stale, a common failure mode in compliance programmes that rely on manual processes. Dashboards & Reports Symphony designed centralised dashboards for both document owners and acknowledgers, providing clear visibility into outstanding tasks, acknowledgement status, and review cycles at a glance. Exportable acknowledgement and version history reports were designed to be audit-ready out of the box, structured to give auditors the evidence they need without requiring manual compilation. Email Notification Templates Compliance workflows live and die by timely communication. Symphony Solutions designed a suite of automated email notification templates covering document assignments, acknowledgement reminders, and annual review prompts. The templates were designed to be clear and actionable, giving recipients exactly what they need to act, without requiring them to log in and search. Marketing Website In addition to the product interface, Symphony designed the full Dayspring Software marketing website. The team translated the product’s capabilities into clear messaging and visual structure tailored to compliance leaders, risk teams, and decision-makers evaluating policy management solutions.
